ScoolBot, operated by Maseehas Digital FZCO (UAE), is committed to protecting your privacy. This policy explains what data we collect, how we use it, and your rights — including full compliance with UAE FDPL, COPPA, and the UAE Ministry of Education AI guidelines (2026).

1. Information We Collect

We collect the minimum information necessary to provide the Service:

  • Account Information: Name, email address, role (student/teacher/parent), profile photo (from Google sign-in)
  • Student-specific: Grade level, curriculum preference, parent email address
  • Usage Data: XP earned, lessons completed, quiz scores, feature activity (used to power dashboards and personalise learning)
  • AI Activity Logs: Metadata only — which AI feature was used, grade level, subject, school ID, and timestamp. No personal content is logged.
  • Voice Data (Live Translate): Your voice is transcribed in real time by Deepgram. No audio is stored after the session ends.

What We Send to AI — YES ✅

  • Grade level
  • Curriculum and subject area
  • XP points and learning history (no names attached)
  • Quiz and assignment content (anonymised)
  • Your voice audio (for translation only, processed in real time by Deepgram — not stored)

What We NEVER Send to AI — NO ❌

  • Student names
  • Email addresses
  • Student ID numbers
  • Photos or video
  • Parent or teacher names (in student AI sessions)
  • Health or medical information
  • Any personally identifiable information

3. How We Use Your Information

  • To provide and maintain the Service
  • To personalise and improve your learning experience
  • To allow parents and teachers to monitor student progress
  • To generate audit logs for UAE MoE compliance (metadata only)
  • To communicate with you about your account

4. UAE Ministry of Education Compliance (2026)

ScoolBot complies with the UAE Ministry of Education's "Safe and Responsible Use of Artificial Intelligence in Classrooms 2026" guidelines.

  • ✅ Student names and personal identifiers are NEVER sent to AI systems
  • ✅ All AI responses are labelled "🤖 AI-Generated"
  • ✅ Teachers must review AI-generated content before assigning it to students
  • ✅ AI features are restricted by grade (Year 9 / Grade 8 minimum for school students)
  • ✅ School administrators can disable AI features school-wide
  • ✅ AI usage is logged with metadata only for compliance audit purposes
  • ✅ Parent consent is required for home students to access AI features

5. UAE Federal Data Protection Law (FDPL) Compliance

ScoolBot complies with UAE Federal Decree-Law No. 45 of 2021 on Personal Data Protection (FDPL). We do not process sensitive personal data beyond what is necessary for educational purposes. Data is stored and processed within secure, industry-standard infrastructure (Google Cloud / Firebase).

6. COPPA Compliance (Children's Online Privacy)

For students under 13:

  • Parent or guardian approval is required before account creation
  • We collect only the minimum information necessary
  • Parents can request a complete copy or deletion of their child's data at any time
  • No advertising or marketing data is collected from students

7. Data Retention

  • Chat and tutor conversation history: Retained for 90 days, then automatically deleted
  • AI activity logs (audit): Retained for 1 year for compliance purposes
  • Quiz and assignment data: Retained for the academic year plus 1 additional year
  • Account data: Retained while account is active; deleted within 30 days of account deletion request
  • Voice transcriptions (Live Translate): Not stored — processed in real time and discarded after session

8. Data Security

All data is transmitted over encrypted connections (HTTPS/TLS). We use Firebase (Google Cloud) for database and authentication, providing industry-standard security. API keys and service credentials are stored securely and never exposed to clients. AI audit logs contain metadata only — no personal content or chat messages.

9. Third-Party Services

ScoolBot uses the following third-party services. Each has its own privacy policy:

  • Google Cloud & Firebase: Infrastructure, authentication, and database
  • Google Gemini: AI tutoring and content generation (anonymised data only)
  • Deepgram: Voice transcription for Live Translate (real-time only, not stored)
  • Gamma: Presentation generation (teacher-facing only)
  • Resend: Transactional email delivery
  • Stripe: Payment processing (ScoolBot does not store card details)
  • Microsoft Clarity: User behaviour analytics (see Section 14 below)

We only share non-personal, anonymised usage data with these services where required to operate the Service.

10. Your Rights

  • Right to Access: Request a copy of your personal data
  • Right to Deletion: Request permanent deletion of your account and data
  • Right to Correction: Request correction of inaccurate data
  • Right to Opt-Out: Disable AI features at any time via your settings or by contacting us
  • Right to Complaint: Lodge a complaint with our privacy team

11. Cookies

ScoolBot uses essential cookies required for authentication and session management. We also use Microsoft Clarity, which places analytics cookies to enable session recordings and heatmaps (see Section 14). We do not use advertising or marketing cookies.

14. Microsoft Clarity — Behaviour Analytics

ScoolBot uses Microsoft Clarity, a behaviour analytics tool, to understand how users interact with the platform. This helps us identify usability problems, improve navigation, and make the learning experience better for students and teachers.

What Clarity collects

  • Anonymised session recordings (mouse movements, clicks, scrolling)
  • Heatmaps showing which parts of pages are most used
  • Custom events we define — for example, which game a student started, whether a quiz was completed, or which AI tool was opened
  • Your anonymised user ID (Firebase UID) and role (student / teacher / parent) — so we can understand usage patterns by user type
  • Standard browser and device information (browser type, screen size, operating system)

What Clarity does NOT collect

  • Your name, email address, or any personally identifiable information
  • The content of your AI tutor conversations or quiz answers
  • Payment information

How we use this data

Clarity data is used exclusively to improve ScoolBot — for example, to find pages where students get stuck, to understand which features are most popular, and to fix navigation problems. It is never used for advertising or sold to third parties.

Microsoft's privacy policy

Data collected by Clarity is processed by Microsoft in accordance with their privacy policy. You can read it at privacy.microsoft.com and learn more about Clarity specifically at clarity.microsoft.com.

Opting out

You can opt out of Clarity session recording by enabling the "Do Not Track" setting in your browser, or by contacting us at privacy@scoolbot.com.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify users of significant changes via email where possible. Continued use of the Service after changes constitutes acceptance of the updated policy.
